As Wedding Day Coordinator my duties include:

  • Visit to both ceremony and reception sites prior to wedding.
  • Development of a detailed wedding timeline and floor plan for contracted vendors and bridal party.
  • Follow up telephone calls to all contracted vendors 3-4 weeks before wedding day.
  • Setup of the event space the day before the wedding.
  • Wedding Rehearsal Supervision (2 hours maximum if needed).
  • On-site coordination and supervision at the reception site for up to 8-10 hours on the day of your wedding.
  • An additional event assistant, on site, on the day of the wedding.
  • Will decorate ceremony site and reception site as discussed.
  • Will pack up your décor and gifts into a designated vehicle.
  • Will keep the timeline running smoothly the day of.
  • To ensure a cleanup crew has been assigned and is capable of their duties.

Wedding Planner vs Coordinator

What is a Wedding Coordinator?

I personally believe this is an under rated subject. A wedding coordinator comes into play towards the end of the planning process. Venue is already decided, all the vendors are booked and really the main focus is to finalize the last details and coordinate the actual wedding day. They are less involved in the small details and more focused on logistics. They get involved about a month or two before the actual wedding date. They make sure the day runs smoothly, managing vendors as well as venue rules. The goal is for the day to run smoothly based off of the couple’s preferences.

What is a Wedding Planner?

Again, most couples confuse a wedding coordinator and a wedding planner. The wedding planner is involved during the entire planning process. They are responsible for managing all of the details of the wedding. A planner can make critical decisions because they have been involved during the entire planning process. This process can last anywhere between a year to a few years. This pertains for full service as well as partial planning. This is more personal, and the planner gets to know you on a level to be able to make recommendations and theme choices based off of your preferences. The planner also does everything the coordinator would do the day of but are more detail focused. The goal is for the day to run as smoothly as possible.

Venue Coordinator?

A venue coordinator is not a wedding coordinator or planner. They have specific duties that pertain to the venue as well as making sure the vendors are following the venue rules and expectations. They will coordinate certain timeline specific events but their job is not to manage the vendors or the day. Their job is to manage the kitchen, bathrooms and parking wherein a wedding coordinator handles details specific to the couple. This is not specific for every venue, some venues offer both services. The goal is for vendors and guests to adhere to the venue rules.
